Question How to keep track of expenses?

What do you guys use to keep track of all your recurring expenses such as server leases, licensing and staffing?

yes you can categorize and keep it in a simple way. For reminders I am not sure but you can always print it on a page and stick it next to your desktop or in your office whiteboard etc.

Do you guys mind taking screen shots from within QuickBooks so I can see what it looks like and the features it has for expense tracking?

I'd recommend something like xero -- I find it's better than quickbooks.

I was looking into this the other day try waveapps.com. It tracks expenses and it can even do payroll. The best part of all it's totally free and can also be used for personal finances

Can you please provide more information on this as to why it is better than quick books? Curious to know.

I've always heard of quickbooks but have never tried it myself. I think I will look into trying that myself.

You should def take a peek at quickbooks
Google them and youll be able to see a decent amount of reviews and information about the fine piece of software. Its a paid option that pays off and covers your behind.

You should use a calendar for reminders of invoices. It isn’t automatic, but you should dedicate time to working on your books. We use outlook 2010 and have a shared calendar between our staff that handles accounts.

We at one point did use sage 50 accounting from peachtree, it was good but we then moved to quickbooks online just because we didn’t like the idea of loading up a heavy application on our desktops and storing the data locally. There are many online “saas” solutions to accounting. Personally I would recommend quickbooks just because it’s most common and you’ll find a lot of support for it.

You should also consider consulting with a proper accountant to create your chart of accounts and do the initial setup as well as review your books/accounts for accuracy at least once during the year before you file taxes.
