Normally these letters are a company letter head stating something is coming up for renewal, what it is and the pricing options as well as contact details, what do you need help with?

Check your billing solution if you have any they mostly have templates

Most billing software has ready made templates. But I don't advise you use them as they are. They usually need quite a bit of editing.

Also it is always a good idea to send a printed copy through the post as well as eMail.
