I have been asked a lot about this and therefore here it goes:

Newbie webhosts, resellers or even dedicated server resellers suffer from the same desease: No money :D
But still, not beeing organzied is not an option. Therefore most people think of their Excel and/or Acces from their MS-Office (that they have downloaded from some -=blahblahzzzZ=- site LOL).

"But where to start. I don't know Excel/Access! And also I have no experience and therefore don't even know what I need" says the Newbie...

Well help is here. I made an excel sheet for new webhosts and an Access DB for either webhosts or resellers. Have fun!

Get it here ! (http://www.starhost.hm/wht/whmtools.zip)

Love,
Robert

Nice :)
Only I cannot open the DB in access - says Unrecognized DB format :(
Using the English access 97 - I've got 2000 on another PC, it might work there, although I haven't checked it yet :)

Wow! Great files there. I'm gonna play around with this and see if I can do my database now :)

I just place my customer database in a basic Access table, but this will make the bookkeeping ever better!

It's probably a 2000 DB as I can open it here with Access 2000 and Access files are not backwards compatible.

I've just taken a look at both files and it looks very good, I'm sure many new web hosts will find it useful... but strictly speaking, if they didn't have any money to even spend on a programmer or 'off the shelf' software such as ModernBill (http://www.modernbill.com/) or PerlBill (http://www.perlbill.com/), then they're not really serious about their business as they don't even have any cash to invest into it.

Im a happy perlbill user. But i have some suggestions for that spreadsheet.

A special finantial report on the main page where you can put:

Server Costs
Total Monthly income
Total Quarterly income
Total Bi-yearly income
Total yearly income

Net profit

Also a nice "search engine" to find an specific customer!:)

I dont understand how a real "web host" would not know how to use excel or access. If the "web host" was for real surely he or she would know how to really use the computer... I think excel/access are really easy to use. The basics of computing :)

Excel and access are not the only spreadsheet and database programs available, maybe they use others.
Also i dont see how either really have anything whatsoever to do with hosting, you can run a company without using either of these programs and i think it is unbfair to say that to be a "real" host you need to be able to use them.
I can use them but that is from back at school when we used to use them, it has nothing to do with my hosting business.

Of course they are, and of course I know how to use them (merit at GNVQ level in ICT Advanced recently) but it depends how the company deceide to run there firm. If they want to keep it all online or offline.

We started out keeping a text file of each clients details, I recently upgraded this system by designing an interface to control the clients details online as it was easier for us to search, find and edit clients details. But it is also good for people to post things like this to help start up firms.

I *REALLY* wouldn't say this... Not all people who start businesses have large sums of cash to get going with. Especially in this business there is a good amount of initial spending needed, every penny counts, and where modernbill and perlbill may be great products, they certainly are expenses that aren't needed when a business is first starting out. Why spend a good chunk of money from startup cash on software to manage something you don't have yet, when instead you could use a free alternative such as this and instead invest that money into better equipment, advertising, or saving it "for a rainy day." I presume that if your business grows beyond the scope of using a system such as a spreadsheet on your PC and you want to move to something like modernbill or perlbill... then you would have enough clients, and thus revenue to then afford it. So it clearly doesn't make sense to say that these software programs are a necessity for a startup, nor say that someone who doesn't invest in something like it isnt serious. Perhaps, they have done their research, and they are a bit more serious than those who don't feel like doing the work and just buy the first package available, these are the companies that spend a bit too generously and don't stay around for too long;-)

I agree Sonic!!
As a startup I do need some kinda ticket/support system
perldesk is fine by me, its free and does almost everything perlbill does. If i need to I will change to perbill as income is there to support cost.

However like sonic said .. U don't need it
All u really need is a FAQ (a big one) and email support.
