334online 11-02-2006, 10:28 PM When I first got into this business I was maintaining a list of my domains, nameservers, expiration dates, billing, etc. on a spreadsheet. Now with 80 or so domains I am quickly outgrowing this method.
Does anyone have an MS-Access program or something similar to maintain a large number of domains and generate reports on expiration dates and custom data?
I have attached a sample of what one of my current screens looks like so any feedback would be greatly appreciated.

You could use PHPMyAdmin to enter all the data and run reports on it as well.
Check out Hotscripts.com (http://www.hotscripts.com). I bet someone else has already written an application since your situation of wanting to maintain many domains is not a new problem.

What mclaugh2006 said is waht we did at the start. You can then access that info from anywhere when you need to. Plus it's easy to see what's coming up.

Has definate potential and is better than I thought it would be. Took a while to install as the instructions are wrong, unclear about auto-mailing, and using ZoneAlarm Pro stopped the calendar function from working (lol my fault).
Testing atm anyway.

5 problems with the script and 1 general comment. I could have loads by the time I've finished with it (comments/ideas that is :)) which I'm sure as a developer you'd appeciate it but I'm struggling to find the time to add all my clients in and use it properly yet.
1. Your SQL script wouldn't install the tables even though my server met your requirements. I had to remove ALL instances associated with utf8 in the code. I have MySQL v4.0.26
2. mailtemplates don't save your templates when you save them. You have to use phpMyAdmin to create a new template of any of the 4 then it will save the rest when you create one. In other words you need a template in there to start with for it to save anything further.
3. Calendar feature doesn't work. Not sure how I got it working last install but it's not ZoneAlarm stopping it as I thought. (Tested under IE & NS, both stating there are errors on the page).
4. Can't use the mouse cursor to select something in a field on the "hosting/domains services" page. Like a character you need to delete. You have to use the cursor keys to get to it. Actually after adding in another customer then adding a new domain/service it was ok!
5. Installed the cron job but never had any emails reminding me of late payments etc... :s
1. Noticed that the Actions column under "Customers" isn't split into 2 like on the other pages. Makes it easy to click on the wrong action!
I really like the look of this as I said above and could use all the time if it meets a few requirements I have.
I created a crappy php page with DB ages back that I use to track my customers etc.. It's not as nice as yours but has a couple of features that would be nice if yours included them too?
1. A column for a day countdown for expiring domains. grey for more than 30 days left, blue for less than 30 days, brown for 0-30 days and red for over -30 days.
2. An information column to allow you to add things like domains aliased to this account and power tools added or extra features!
3. Discount column
4. Date the domain was added to the hosting. Can always be different to the billing dates you see.
5. And at the bottom (or a seperate page in this case) I have a Monthly breakdown of my income so I can see what's coming up and how much should we be invoicing that month.

* The direct email feature comes through as apache@servername.com. You don't get a choice for a "From" address in the php files. Can that be added in?
* When the email comes through it's changed "it's" to "it\'s".
* Can you allow the direct email feature to use the templates so that you just click the email button for the relevant customer and it can email them with the template you've already setup (depending on if it's the domain/hosting package that's expired)?
* Any chance you can turn off the domain features as we only do hostings so having domain features in there just gets in the way.
Great idea this and well worth people testing out for you.
Tell me to bugger off if I'm expecting too much!
