View Full Version : What happens when a clients wants a slightly different account?

The hosting im looking to provide will be based on 3 different set packages.

For each package however you can have additional bandwidth and/or webspace for an additional cost.

What happens (or what do you think should happen) if a package is bought and then a couple of months later they want to add some extra bandwidth or storage etc?

Should i make them wait until the end of the 12 month contract? and then when they renew their subscription provide them with the addtional bandwidth/space and increase in price?

Or should i charge them for the extra items at the set price (which will cover them for the remainder of the 12 month contract) and then when the renewal date comes (at the end of the 12 month period) include the new price of the package?

When I used modernbill, it had the ability for users to purchase additional bandwidth and space, it'd then modify there package.

Pro rate for the remainder of the 12 months and then the renewal price will inlcude the additonal cost.

If you make them wait 12 months they will more than likely cancel

Hmmmm modern bill, is possible but i actually think its rather complex and hard to understand (maybe thats just me). Plus as i will only have a few clients in the first year i dont need something so big! It does sound like a good idea though!

As for making them wait 12 months i definately agree, that wont work! So what when they want to upgrade i sent them a bill just for the add on item(s) and then include it with the total price of their package when the yearly renewal date comes around.

So even if they request the extras two months (or something) before the package renewal they still need to pay? or should i make it a percentage of the addon? even though the addons arent that expensive at all?

if there is 2 months left then make the client pay 1/6th of the 12 month price, maybe if it's a small amount you could waive the fee as a gesture of good will (payment processor fees may mean you would only be missing out on a very small amount)

Modernbill isn't too hard really, it took me about a day to get it set up and working and it makes life so easy. V5 is looking very good too

What not liking modernbill?

i mean im with a host just for the time being that uses it, and it took me about 20 minutes to pay the invoice cause i couldnt find my way around the different screens of the software. I found the navigation quite hard to understand and im a web designer so if i cant understand it very easily theres no hope for other people! :p The process could just be so much simpler, far too complex!

Only if you only need the simple stuff. In that case MB might not be the best solution for you.

We use Modernbill for our accounts and have done for a while now.. if you think its hard to understand the client interface, wait till you see the admin interface.. its a nightmare!

Hmmm ill definately be sticking clear, i mean with a small number of clients im planning on keeping track of everything through an offline database, Excel or Access, something simple, just so i can keep track of payments. Then sent out a paypal payment request 30ish days before payments is required. Well thats the plan!

There are advantages and disadvantages of ModernBill. They are also trying to fix 99% of the disadvantages in the new version, 5.0.

Personally I have and will continue to use it due to the advantages of automation.

Ill agree the current version of Modernbill is very complex and i still dont completely understand it. With regards to package upgrades we will let clients add extra space in "Blocks" of 50MB. 1 Block is £X etc. These at the moment we just process manually. I hope to see V5 soon im sure it will make life alot easier for us.

What I usually do is to waive the difference if they do not require a big jump, you'll keep your client really happy letting their know that you cares about their needs and that you're not running behind their money.

We offer custom packages and use a fixed calculation method to determine the price. Any time a customer wants to change their package we just calculate the new price then calculate the difference for the remainder of the contract period and bill that much. If the difference is small, we just start the new billing when it's time to renew.
