View Full Version : How do you know? alerts or what?

How do you know which clients owe you what?
I mean how do you keep records of how much a user has paid, when they have paid, and when there next payment should be?

How do you know all this? Do you get alerted if you have loads of customers, or do you have to go through numerous records one by one, looking for customers that have to pay again?

Do you use a program to work these out?

Well you can get a merchant account that does recurring billing so that they are charged the amount of the plan every month. The only thing is that if they place an order for add-ons or go over the bandwidth limit then you have to charge them separately for that.

Or, you can get an invoicing system that will tell you when each payment is due.

Or you can have a programmer write you a script. I recommend this if you have the money because like that you can have it written for your specific needs. The only thing is that it might run you somewhere between $1000-3000. I recommend you going to elance and posting your project and see if anyone is willing to do it for less. But don’t go with the highest bidder or the lowest.

I use Sage Accounting. The automatic billing system works fine, I can even add extra bandwidth and storage space to the final bill before printing.

You could also have them pay by Standing Order. You can then bill them seperataly for extra bandwidth etc.. You don't need any special arrangements to do Standing orders either, just ask your bank about it.

Used a Sage accounting program when i was in college, went in one ear and came out the other :D lol

I got plenty of practice at my last workplace. Installed it for 45users and gave very basic introductions into using it.. I can still only use a handful of functions, it's capable of much more - but for what i'm doing , it's enough :-)
